EMAIL AND CALENDAR MESSAGING SYSTEM
Email and Calendar Coordination

Th full Spectrum email messaging system allows each staff member to have an email account on sugar that would receive emails from their POP 3 email system.  There after providing a location where all emails can be stored or catalogued for support, client, sales, lead and customer activity records. The system provides complete email compose system to respond or create a new email.

 
The email compose features:

You can send email in HTML format, or  plain text version.  When you select  HTML the editor using a complete email system to write, draft, highlight, change fonts, bold and apply standard formatting options.  Additional controls to insert rules, hyperlinks, pictures, table and display the HTML source code.  All emails are saved to the department and customer or lead that you are communicating about.  The system also allows for group emails.  Example a group email to support would be sent to the support department and queued for the firs available support reps to handle.   The system tracks the open the emails and is discussed additionally in the Help Desk Trouble Ticket section. Email Templates Features:

You can use email templates to create form letters for individuals and for mass email campaigns. You enter the message in the template, and then specify variables, such as the recipient's name and email address from your list of campaign targets. When you create a template, you can embed images and attach files from the Full Spectrum documents or from your computer file system. When you create a template for an email campaign, you can insert tracker URLs into the template to track campaign activity.

Calendar  Coordination

From the Calendar module you can view and create meetings, schedule calls and tasks. These activities can be coordinated with other members of the staff by invitations from the calendar.  The calendar displays only your meetings or others you were invited , calls, and tasks scheduled by the day. The Day, Week, Month, Year, and Shared buttons display above the calender.  The calendar system allows the company to display preset closings, track employees days off,  add a day closed, create a group meetings-calls-conferences and send invitations to those invited and loads it on there calendar if they accept the invitation.

Users can check the schedules of other users you plan to invite to a call or meeting. Click Shared and check the user's schedule in the shared calendar.  You can move backwards and forwards in the calendar- by one day, week, month or year. In the week, month or year format, you can click on any date to view that date in day format.
